Targeting & Permissions
Can workspace owners set their own targeting?
Short answer: Partially. Workspace owners can customize their location radius but cannot change audience types or detailed targeting.
Details:
Workspaces with the paid_ads_management permission can:
- Adjust their targeting radius (1-50 miles from their location)
- View which audience type applies to their ad sets
- Edit their ad configurations in the Ads Configuration module
Workspaces cannot:
- Change the targeting strategy (ads_configuration, manual)
- Create new audience types
- Modify detailed targeting (interests, behaviors, demographics)
- Change conversion tracking settings (pixel, events)
Why this design?
Hub controls targeting to maintain brand consistency and campaign effectiveness across the network. If you need different targeting for different markets, create audience types in Ads Configuration and assign them appropriately.
To enable workspace targeting adjustments:
- Go to Organization Settings → Permissions
- Enable
paid_ads_managementfor the workspace owner's role - Super Admins have this permission automatically
For significant targeting changes across multiple locations, we recommend the Hub makes updates centrally to ensure consistency.
Can I change which audience type a workspace uses?
Yes, but it's configured in Ads Configuration, not in the playbook itself.
To set up audience types:
- Go to Organize → Ads Configuration
- Create audience type configurations (e.g., "Database", "Mass", "Lookalike")
- For each workspace, configure their settings for each audience type
In the playbook:
When creating ad sets, select which audience type to use. During deployment, each workspace's specific configuration for that audience type is applied.
What permissions do workspace owners need for paid ads?
| Permission | What It Enables |
|---|---|
paid_ads_management | Edit ad configurations, adjust targeting radius, view campaign details |
| Super Admin role | All paid ads features automatically |
To grant permissions:
- Go to Organization Settings → Permissions
- Find the user or role
- Enable
paid_ads_management
Creative & Media
Can I override creative that doesn't pass brand standards?
Yes. For workspace-level creatives, there's a built-in review workflow.
Before deployment (recommended):
- Workspace submits opt-in with their uploaded media
- Opt-in status becomes "In Review"
- You review the submitted creative
- If compliant: Approve → deployment starts
- If issues: Request Changes → workspace receives notification with your feedback
- Workspace resubmits with corrected media
- Review again until approved
After deployment:
If you need to override creative on a live campaign:
- Go to Command Center
- Find the workspace's campaign
- You can edit ad copy (primary text, headline, description)
- For media changes, contact the workspace to update or switch to their workspace context and edit the opt-in directly
The review flow is the cleanest way to handle brand compliance. Set clear guidelines in your media upload notes so workspaces know what's expected upfront.
Can workspaces use Messenger ads in playbooks?
Not currently. Messenger destinations would require a platform update. If Messenger ads are a priority for your brand, contact Flamel support to discuss adding this capability.
Currently supported destinations:
- Website
- App
- Facebook Page
- Instagram Profile
What are the differences between creative modes?
| Mode | Who Provides | Hub Review | Deploy Immediately |
|---|---|---|---|
| Playbook-Level | Hub uploads media | Not needed | ✅ Allowed |
| Workspace-Level | Workspaces upload during opt-in | Required | ❌ Blocked |
| Existing Posts | Workspaces select organic posts | Not needed | ❌ Blocked |
What image/video specs should I tell workspaces?
Images:
- Minimum: 1080x1080 pixels
- Recommended formats: JPG, PNG
- Aspect ratios: 1:1 (square), 4:5 (vertical), 1.91:1 (landscape)
- File size: Under 30MB
Videos:
- Recommended: 1080x1080 or 9:16 vertical
- Duration: Under 15 seconds performs best
- Format: MP4, MOV
- File size: Under 4GB
Tips for workspaces:
- Clear, well-lit photos
- Show your product/service/location
- Include people when possible
- Minimal text on images (Meta may reduce delivery for text-heavy images)
Campaigns & Extensions
How do I extend a campaign that's performing well?
For budget increases:
- Go to Command Center
- Find the campaign or ad set
- Click the budget to edit
- Choose how to adjust:
- Set specific amount
- Increase by percentage
- Add dollar amount
- Save changes
Budget updates apply immediately to Meta.
For schedule extensions:
Currently, schedule extension must be done in Meta Ads Manager:
- Go to Command Center
- Find the campaign
- Click Open in Meta Ads Manager
- Adjust the campaign end date in Meta
- Changes sync back to Flamel
For evergreen playbooks, workspaces can simply re-opt-in when their current run completes, which creates a new campaign with fresh dates.
Can I manage campaigns in Meta instead of Flamel?
Yes. From Command Center, click Open in Meta Ads Manager to go directly to the campaign in Meta's interface.
Changes made in Meta will sync back to Flamel, though some edits are better managed in Flamel for consistency across your network.
Recommended in Flamel:
- Budget changes (applies to whole network)
- Pausing/resuming campaigns
- Viewing cross-location performance
Okay in Meta:
- One-off troubleshooting
- Advanced optimizations
- Schedule extensions
- Placement adjustments
What's the difference between pausing in Flamel vs Meta?
Pausing in Flamel:
- Pauses for that workspace only (in shared playbooks)
- Updates status in Flamel dashboards
- Can resume from Flamel
Pausing in Meta:
- Same effect on ad delivery
- Status syncs back to Flamel
- Can resume from either platform
Both work, but Flamel gives you better visibility across your network.
Lead Generation
How do I set up a lead capture playbook?
See our complete guide: Lead Capture Playbooks
Quick overview:
- Create lead form templates in Meta Ads Manager (on one location's Page)
- Copy forms to other location Pages
- In Flamel, configure each workspace's lead form in Ads Configuration
- Create playbook with OUTCOME_LEADS objective
- Set destination type to lead form
- Deploy
Do I need to create forms in Meta first?
Yes. Lead form templates must be created in Meta Ads Manager before connecting them in Flamel.
Workflow:
- Go to Meta Ads Manager for one workspace
- Create a lead form template (Instant Form)
- Copy the form template to other workspace Pages
- In Flamel Ads Configuration, connect each workspace to their form
- When creating a playbook, the forms are automatically used
Can I reuse lead forms across playbooks?
Yes. Forms are configured per-workspace in Ads Configuration, not per-playbook. Once set up, any playbook using the Leads objective can use them.
Evergreen Playbooks
How many times can a workspace re-opt-in to an evergreen playbook?
Unlimited. Each opt-in creates a new campaign run.
The system tracks:
- Run number — 1, 2, 3, etc.
- Parent opt-in — Links back to previous runs
- Full history — All runs are recorded for reporting
What happens when an evergreen playbook run completes?
- Campaign reaches its end date
- Status changes to "Completed"
- Campaign stops spending
- Workspace can immediately opt in again
- New opt-in creates Run #2 (or #3, #4, etc.)
- Workspace sets new budget and schedule
- New campaign deploys
Can I set different durations for evergreen playbooks?
Yes. Three options:
| Duration Mode | How It Works |
|---|---|
| Preset | Fixed options: 7, 14, or 30 days |
| Custom | You set exact number of days |
| Flexible Range | Min and max days; workspace chooses within range |
Example flexible range: Min 7 days, Max 90 days. Workspace picks their preferred duration.
Can I convert a one-time playbook to evergreen?
Not directly. Evergreen is set during playbook creation.
Workaround:
- Duplicate the one-time playbook
- Configure the duplicate as evergreen
- Publish the new evergreen version
- Archive the old one-time version (optional)
Workspaces who opted into the one-time version keep their campaigns. They can opt into the new evergreen version separately.
Troubleshooting
Why can't I select Deploy Immediately?
Deploy Immediately is disabled when:
- Creative mode is Workspace-Level (requires workspace uploads)
- Creative mode is Existing Posts (requires workspace selection)
- Any setting requires workspace input
Solution: Switch to Playbook-Level creatives where hub provides all media.
Why did a workspace's deployment fail?
Common causes:
- Payment method issues — Workspace doesn't have valid billing
- Ad account restrictions — Account is disabled or limited
- Policy violations — Creative violates Meta policies
- Targeting issues — Invalid or too-narrow targeting
- Budget too low — Below Meta minimums
Check the opt-in status for error details. Workspace can retry after fixing the issue.
Why aren't workspaces seeing my playbook?
Check:
- Access settings — Is it set to "All Workspaces" or is this workspace included?
- Playbook status — Is it published (not draft)?
- Workspace permissions — Does user have access to paid ads features?
- Context — Is user logged in as that workspace (not hub)?
Can I delete a published playbook?
You can archive it — removes from workspace browsing but preserves history.
You cannot fully delete — playbooks with opt-ins have campaign data that needs to be retained.
To archive:
- Go to Playbooks management
- Find the playbook
- Click Archive
- Confirm
Archived playbooks can be unarchived if needed later.
